01 · The challenge

Field Work on Paper

Jobs tracked through forms, chats and calls.

The client had a standardized operating process, but day-to-day execution still depended heavily on paper forms, manual uploads and manual time tracking.

What we found

  • Paper in the field

Questionnaires and job sheets filled by hand, photos taken on personal phones.

  • Scattered channels

Information sent back through email, WhatsApp and physical paperwork.

  • Missing time logs

Invoicing problems, delays and errors when tracking orders and completed jobs.

  • No live picture

Status meant phone calls; client data sat in filing cabinets and shared inboxes.

In detail

  1. 01

Field teams completed questionnaires and job sheets by hand, took photos on personal phones, and sent information back through email, WhatsApp and physical paperwork.

  2. 02

That fragmentation created missing time logs, invoicing problems, customer complaints, delays and errors when tracking orders and completed jobs.

  3. 03

The office had no reliable real-time picture of job status. Following up meant phone calls and chasing incomplete forms, while sensitive client data stored in filing cabinets and shared inboxes created a growing compliance concern.

  4. 04

The issue was not the team’s effort. It was that their tools were not designed around the way the business actually operated.

02 · The solution

One Connected Platform

Staff, contractor and partner portals in one system.

We began by mapping the real workflow with technical, operations, finance and management teams, identifying gaps and defining the information each team needed to move a job forward.

What we built

One connected workflow from order to completion

  • Staff and management portal

Orders, approvals, status updates, notes, documents and communication in one place.

  • Scheduling and resources

Contractor scheduling, workload planning and visibility across jobs, time and resources.

  • Contractor mobile app

Scheduled jobs, structured forms, photo uploads and time tracking from the field.

  • Partner portal

Live order status, schedules, assigned workers and direct communication with the office.

  • Tracked workflow

Defined stages and monitored handoffs, with time tracked from start to finish.

  • Reviewed before release

Features approved in a dedicated development and test environment before production.

In detail

  1. 01

The staff portal centralizes orders, status updates, notes, documents and communication. Managers can review jobs, flag issues and follow work from start to finish.

  2. 02

The contractor mobile web app works on existing devices and provides structured job forms, dropdowns, photo uploads and time tracking linked directly to the central system and invoicing workflow.

  3. 03

The partner portal gives customers live visibility into their orders, assigned workers, schedules, completion status and communication with the office.

  4. 04

We delivered through an Agile rollout with regular customer reviews and a dedicated development/test environment, allowing features to be approved before production and helping minimize downtime and business disruption.

03 · The result

Every Job in View

Live status and planned capacity for every job.

Managers can see the status of every job without relying on phone calls or scattered messages, while incomplete submissions can be identified before they become bigger operational problems.

What changed

  • Real-time visibility

Managers see where every job stands without chasing updates by phone.

  • Capacity in view

The Job Scheduler shows contractors, workload and resources across the year.

  • Partner visibility

Partners follow orders, schedules and status changes directly in the system.

  • Centralized information

Documents, communication and operational data searchable in one environment.

In detail

  1. 01

Contractors know what is scheduled for the day, submit job information from the field and track working time directly in the system.

  2. 02

Partners can follow orders and status changes without repeatedly asking the office for updates.

  3. 03

Information that once lived across paper, inboxes and personal devices is now centralized, searchable and protected in line with GDPR requirements.

  4. 04

A job scheduler lets the team assign contractors, plan workload and track resources across days, weeks, months and the year, improving capacity visibility and delivery planning.
